Description
This role involves knowledge of rent calculation, breakpoints, annual reconciliations and requires decision-making and Landlord and Subtenant negotiation skills. This role is a collaborative cross-functional position working relationships with Real Estate Development, Real Estate Accounting, Finance, Asset Management, Legal, Facilities Maintenance, Construction, and other external departmental stakeholders, as well as landlords, subtenants, franchisees, third party legal teams and third-party contractors.
TBC’s portfolio consists of approximately 3500 (real estate and equipment) active leases and inactive leases.
Job Responsibilities
  • Regularly update all lease records in TANGO (Lease Administration System) to ensure accuracy and currency of dates and financial data
  • Monitor Lease Records and critical lease details to manage lease information effectively and prevent any overcharges
  • Provide comprehensive support for the integration of new locations into the lease system
  • Collaborate with landlords and subtenants to resolve any issues related to rent discrepancies, unpaid or late rent, and default notices etc.
  • Review and sanction adjustments related to real estate taxes and insurance bills for landlord reimbursements
  • Ensure the timely and accurate processing of real estate taxes, including audits and payments to authorities, while securing all available discounts
  • Handle both recurring monthly and one-time payments, ensuring they are processed on time and accurately
  • Conduct annual audits of operating expenses to manage and control occupancy costs effectively
Additional Job Responsibilities
  • Analyze lease agreements to ascertain Rent Commencement Dates, rent amounts, and property expiration dates based on lease contingencies
  • Work with the Legal and Real Estate Development teams, and Landlords and Subtenants to facilitate the processing and signing of legal documents, as well as responding to legal notices
  • Dispute Resolution: Manage disputes with landlords and subtenants concerning rent and other lease-related obligations
  • Reporting and Researching: Generate and disseminate reports to various internal business partners as required
  • Collect and track all insurance info needed for new and ongoing locations
  • Collaborate with Real Estate Development, Real Estate Accounting, and other departmental stakeholders, as well as landlords, subtenants, and third party legal/contractor
  • Other duties as assigned
Qualifications
  • Associate degree or higher is required
  • B.S. Paralegal and Notary preferred
  • 5-7 years of experience in commercial real estate lease administration
  • Expertise in understanding and interpreting retail lease language
  • Ability to proactively identify issues and propose and/or initiate solutions
  • Proficient in Microsoft Excel
  • TANGO Experience preferred
  • SAP Experience preferred
  • Possess the technical aptitude to use various Lease Administration systems and software
  • Possess excellent analytical, quantitative, written, and verbal communication skills
  • Be able to work independently with attention to detail, documentation, and follow-through
  • Be highly organized, detail oriented with a professional demeanor and strong interpersonal skills
  • Bilingual in Spanish /English is a plus
